Sharing Files/Folders: Google Drive

One advantage of storing your files in Google drive is the ability to share that file [or folder] with other people. This allows you to collaborate on a project, or proofread for accuracy.

Share menu
Right Click on top of the item you want to share with someone or several people.



















Click on Share…













Click on Share on the menu on the right.

The following Sharing settings window appears


















Click in the Invite people box at the bottom of the page.

Invite People
If the person you want to share this item with is in your contact list,
Enter in the names of the people you want to share this item with.
If they are not on your contact list,
type in their emails.




Click Share & Save when all the names have been entered
An email will be sent to them to notify them and give them a link.
You can also have an email sent to yourself by clicking in the check box on the right.

Another way to begin the share:
Click in the square to the left of the item you want to share.
A check appears inside the box

At the top of the screen above the list of files and folders is the following menu items. 







Click on the Share icon [Shown on left] from the top menu [as shown below]
The Sharing settings window appears


The rest of the instructions are the same as above.

Create a file: Google Drive

Google Drive is a great way to share files, documents and photos with family members.
But we don't want them all in one place hard to fine what they want. It is better to organize the files into folders.


On the left hand side of the screen under the word Drive is a red box with the word CREATE
Click on CREATE.
The following drop down menu appears




Folder
Used to organize your files

Document
A Word Processor  Google's mini version of Word 

Presentation
Google's mini version of PowerPoint

Spreadsheet
Google's mini version of Excel.

Form
Creates quizzes/ surveys sends the results in a spreadsheet

Drawing:
Like Paint program




Click on the program you would like to use. The program is opened for you and you are ready to begin.

Folder
If you selected Folder, you will be asked for the name of the folder. A folder will then appear in the area/folder you are in.

Remember
You do not have a Save icon. Google automatically saves your work for you onto the Internet [SkyDrive].


Create a Folder: Google Drive

Folders are used to organize files. Instead of having a whole bunch of files all in the main directory we create folders [subdirectories] where we store files that are related.
Such as a country, a last name, a family, document, etc...

When you open Google Drive you are in the "root" directory. The main directory.
We are going to create a folder in the root directory.

On the left hand side of the screen under the word Drive is a red box with the word CREATE

Click on CREATE.

Click on Folder.
It now asks you for a name for the folder in a small window, shown below.



Type in the name of the folder.

I am naming this one Accounting








Click on Create
The folder now appears in the list of files and folders in this folder.

Once you have created folder they look like the following.


Note: Beside the Shelley folder is the word Shared
I have shared the whole folder with someone.

Subdirectories
Case Study
We have a folder called Accounting. Now I need to divide up the accounting folders by years.
I would open up the Accounting folder so I could see the files inside that folder.
Then I would create each year's folder. They are now subfolders/subdirectories of the Accounting folder.

You create the folders the same way as shown above.

Free OCR website

A cool website to help you transcribe old family documents.

This service is free, no registration necessary. We also do not need your email address.
Just upload your image files. Free-OCR takes either a JPG, GIF, TIFF BMP or PDF (only first page).
The only restriction is that the images must not be larger than 2MB, no wider or higher than 5000 pixels and there is a limit of 10 image uploads per hour.
